What Data We Process

This website is a static site and does not set tracking cookies. When you contact us by email, we process the data you provide (name, email address, message) solely to respond to your request.

When the site is accessed, the hosting provider may temporarily store standard server log data (IP address, date and time of access, requested page, browser type) for the purpose of operating and securing the website.

Event Application

If you apply for participation via our application form, we process the data you provide (such as name, email address, institution, and the other information you enter in the form) for the purpose of organizing the event: reviewing applications, allocating places and funding support, and contacting you about your participation (legal basis: Art. 6(1)(e) GDPR in conjunction with § 3(1) HDSIG — organization of a university event; for optional information you choose to provide, such as dietary or accessibility requirements and photo consent, Art. 6(1)(a) GDPR — you may withdraw such consent at any time).

The application form is part of this website; your data is transmitted over an encrypted connection and stored on at our hosting provider in Germany acting as processor. When you submit the form, the organizing team is additionally notified by an automated email containing your application details, sent to our mailbox contact@datadialogue.eu, which is hosted on the same server in Germany. No third-party form service is involved, your application data is not transferred to third countries, and no visitor IP addresses are stored with your application. Access to application data is restricted to the organizing team.

Providing the fields marked as required is necessary to process your registration — without them we cannot consider it. All other fields are voluntary. If the information you choose to provide includes special categories of personal data (for example health-related details in the dietary or accessibility fields), we process it solely for the stated purpose on the basis of your explicit consent (Art. 9(2)(a) GDPR).

Application data will be deleted no later than three months after the event, unless retention obligations relating to the administration of third-party funding require longer storage.

Photography at the Event

Photographs will be taken during the event and may be published on our website, social media channels, and other event-related communications. We only publish photographs in which you appear recognizably if you have consented (Art. 6(1)(a) GDPR). You may withdraw your consent at any time with effect for the future by emailing contact@datadialogue.eu; this does not affect the lawfulness of publication before withdrawal. Please note that publication on social media platforms may involve a transfer of the photographs to servers outside the EU.

External Content

All fonts used on this website are hosted locally — no font provider receives any data about your visit. Some pages embed or link to external services (e.g. map data from OpenStreetMap). When such content is loaded, the respective provider may receive technical data such as your IP address.

Your Rights

You have the right to access, rectify, and erase your personal data, to restrict or object to its processing, and to data portability. Where processing is based on your consent, you may withdraw it at any time with effect for the future. You may also lodge a complaint with a supervisory authority, in particular the Hessian Commissioner for Data Protection and Freedom of Information (HBDI), Wiesbaden.
